SalesKey includes a time tracking system that lets your team log hours against activities and tasks. This is useful for billing clients, understanding how time is spent, and managing team capacity.

Key Concepts

Term Description
Timesheet Entry A record of time worked — start time, end time, and duration
Billable Time that can be charged to a client
Non-Billable Internal time that is not charged
Hourly Rate The billing rate applied to billable time
Billable Amount Duration × Hourly Rate
Hourly Cost Your internal cost per hour (for margin tracking)
Timer A built-in stopwatch for real-time tracking
Manual Entry Adding a timesheet without a running timer
Approval A manager reviewing and approving submitted time

How to Log Time

There are two ways to log time in SalesKey:

1. Using the Timer (Real-Time Tracking)

Best for logging time while you work:

  1. Click the Timer icon in the top header.
  2. Start the timer when you begin work.
  3. Stop the timer when you finish.
  4. A timesheet entry is automatically created with the recorded duration.
  5. Add a description and link it to an activity or task.

2. Manual Entry

Best for logging time after the fact:

  1. Go to Timesheets.
  2. Click + New Entry.
  3. Fill in the start time, end time, and other details.
  4. Click Save.

Note: Your administrator may have enabled only one or both of these methods. If an option is unavailable, contact your admin.


Timesheet Entry Fields

Field Description
Start Time When work began
End Time When work ended
Duration Auto-calculated (can be adjusted)
Description What was worked on
Associated With Linked activity or task
Is Billable Whether to bill this time to a client
Hourly Rate Billing rate for this entry
Billable Amount Calculated automatically
Hourly Cost Rate Internal cost per hour
Status Pending, Approved, or Rejected

Billable vs. Non-Billable Time

  • Mark time as Billable when it should be charged to a client.
  • Mark time as Non-Billable for internal meetings, admin work, or overhead.
  • The Hourly Rate on a task (if set) overrides the default rate for that entry.

Timesheet Approval

Depending on your company's settings, timesheets may need to be submitted for approval:

  1. Complete your timesheet entries.
  2. Submit them for review.
  3. A manager will approve or reject the entries.

Viewing Timesheet Summary

The Timesheets section shows a summary of:

  • Total hours logged
  • Billable hours and amounts
  • Non-billable hours
  • Hours by team member (managers)

Who Can Access Timesheets?

Access to timesheets is controlled by your administrator through role permissions. Managers can typically view their team's timesheets; individual contributors see only their own.
