How to Invite Your Team and Set Roles
Collaborating effectively in SalesKey starts with getting your team set up correctly. This guide covers how to invite users, assign the right seat types, and configure permissions.
Understanding Seat Types
Before inviting team members, it helps to understand the three seat types available in SalesKey:

| Sales Seat | Sales reps and BDRs | Contacts, Leads, Deals, Pipeline, Activities |
| Project Seat | Project managers, delivery teams | Projects, Tasks, Timesheets |
| All-in-One Seat | Managers, founders, full-team members | Everything in Sales + Project seats |
Assign each team member the seat type that matches what they need to do in SalesKey. You can always change seat types later.
Step 1: Invite Team Members
- Go to Settings → Team Members
- Click + Invite Member
- Enter the team member's work email address
- Select their seat type (Sales, Project, or All-in-One)
- Select their role (see roles below)
- Click Send Invitation
The invited member will receive an email with a link to create their account. The link expires after 48 hours — if it expires, you can resend the invitation from the Team Members page.
Step 2: Assign Roles
Roles control what each team member can see and do within the workspace.
Available Roles
Admin
- Full access to all settings, billing, and team management
- Can view and edit all contacts, deals, and reports
- Can manage pipelines, custom fields, and automations
- Recommended for: Founders, Sales Managers, Operations leads
Sales Rep
- Can create and manage their own contacts, leads, and deals
- Can view deals assigned to them
- Cannot access billing or team settings
- Recommended for: Individual contributors, BDRs, Account Executives
Manager
- Can view all team members' deals and activities
- Can generate and export reports
- Cannot access billing settings
- Recommended for: Team leads, Sales managers who need full pipeline visibility
Read Only
- Can view contacts, deals, and reports
- Cannot create, edit, or delete records
- Recommended for: Executives, stakeholders who need visibility but not editing access
Step 3: Organize Into Teams (Optional)
If your workspace has multiple sales teams or regions, you can group members into teams.
- Go to Settings → Teams
- Click + New Team
- Give the team a name (e.g., "UAE Sales", "Enterprise", "SMB")
- Add members to the team
- Click Save
Teams allow managers to filter pipeline views and reports by team, and can be used to restrict deal visibility to specific groups.
Managing Existing Members
Change a Seat Type
- Go to Settings → Team Members
- Click the member's name
- Select a new seat type from the dropdown
- Click Save — the change takes effect at the next billing cycle
Remove a Member
- Go to Settings → Team Members
- Click the three-dot menu next to the member's name
- Select Remove Member
- Choose what to do with their assigned deals (reassign to another member or leave unassigned)
Note: Removing a member does not delete their data. All contacts, deals, and activities they created remain in the workspace.
Resend an Invitation
If a team member did not receive their invitation email:
- Go to Settings → Team Members
- Find the pending invitation (shown with a "Pending" badge)
- Click Resend Invite
Frequently Asked Questions
Can a team member belong to multiple teams?
Yes. A team member can be added to more than one team.
What happens to a member's deals if I change their role?
Role changes do not affect deal ownership or data. Only permissions change.
Can I limit which pipeline a sales rep can see?
Yes. Pipeline visibility can be restricted per role in Settings → Pipelines → Visibility.
