Activities can be created from the Activities section or directly from any related record (contact, deal, lead, project).


Creating an Activity from the Activities Section

Navigate to: Activities

  1. Click + New Activity (or Add) in the top right.
  2. Fill in the details:
    • Subject (required) — A clear title, e.g., "Discovery Call with John Smith"
    • Type — Call, Meeting, Task, Note, Email, or custom type
    • Status — Planned (for upcoming) or Completed (for past activities)
    • Priority — Low, Medium, or High
    • Start Time — When the activity is scheduled
    • End Time — When it ends (duration is auto-calculated)
    • Location — Address or video call link (for meetings)
    • Description — Agenda, notes, or details
    • Assignee(s) — Team member(s) responsible
    • Associated With — Link to a Person, Organization, Deal, Lead, or Project
  3. Click Save.

Creating an Activity from a Related Record

This is the fastest way to log an activity because the link is pre-filled:

  1. Open any Contact, Deal, Lead, or Project.
  2. Find the Activities section in the profile.
  3. Click + Add Activity.
  4. Fill in the activity details.
  5. Click Save.

The activity will automatically be linked to that record.


Logging a Completed Activity

If you are logging an activity that already happened (e.g., a call that just ended):

  1. Create the activity as usual.
  2. Set the Status to Completed.
  3. Set the Start Time and End Time to when it actually occurred.
  4. Add any notes or outcomes in the Description field.
  5. Click Save.

Marking an Activity as Complete

For planned activities:

  1. Find the activity in the Activities list or on the Calendar.
  2. Click the status toggle or checkbox next to the activity.
  3. Select Completed.

Scheduling Follow-ups

After logging a completed call or meeting, it's good practice to immediately create a follow-up activity:

  1. Complete the current activity.
  2. Click + Add Activity and create the follow-up (e.g., a task to send a proposal).
  3. Set the due date and link it to the same deal or contact.

Tips for Effective Activity Logging

  • Log activities in real time — Add notes immediately after a call while details are fresh.
  • Use descriptive subjects — "Call re: Q3 contract renewal" is better than "Call".
  • Always link to a record — Unlinked activities have no context and are hard to find later.
  • Set priorities — High-priority tasks should stand out so they get done first.
  • Use completion status — Keeping activities updated as done helps your manager see accurate team activity.
