Tasks are individual work items within a project. They help you break down the project into specific, actionable steps and track completion. Tasks can be nested with subtasks for more granular planning.

Navigate to: Projects > [Open a Project] > Tasks


Creating a Task

  1. Open the project.
  2. Go to the Tasks section.
  3. Click + Add Task.
  4. Fill in the task details:
    • Subject (required) — What needs to be done
    • Due Date — When the task should be completed
    • Assignee(s) — Who is responsible for this task
    • Phase — Which project board phase this task belongs to
    • Status — Done or Pending
    • Is Billable — Whether to track this task's time as billable
    • Hourly Rate — Billing rate for this task (overrides project default if set)
    • Estimated Duration — How long the task is expected to take
  5. Click Save.

Creating Subtasks

Subtasks let you break a task into smaller steps:

  1. Open an existing task.
  2. Click + Add Subtask.
  3. Fill in the subtask details (same fields as a task).
  4. Click Save.

Subtasks appear nested under the parent task. They can be completed independently, and the parent task tracks the overall completion.


Completing a Task

Toggle completion: Click the checkbox or the status indicator next to the task to mark it as done.

From the task detail: Open the task and change the Status to Done.


Reordering Tasks

Drag and drop tasks within the task list to change their order. This helps you prioritize work visually.


Task List vs. Board View

  • Task List — A list of all tasks in the project with full details. Best for managing and reviewing tasks.
  • Board view — Tasks appear as cards organized by phase alongside projects. Best for a visual workflow overview.

Billable Tasks and Time Tracking

If time tracking is enabled in your account:

  • Mark a task as Billable to track its hours as client-billable time.
  • Set an Hourly Rate on the task for billing calculations.
  • Team members can log time against billable tasks in Timesheets.

Deleting and Restoring Tasks

To delete: Open the task and click Delete, then confirm.

Deleted tasks can be restored by an administrator from Settings > Restore.


Tips for Effective Task Management

  • Keep task names action-oriented — Use verbs: "Write proposal draft", "Schedule kickoff call", "Review contract".
  • Always set due dates — Tasks without due dates tend to be deprioritized.
  • Assign every task — Unassigned tasks have no clear owner and often remain undone.
  • Use subtasks for complex work — If a task requires multiple steps, use subtasks to track each step.
  • Complete tasks promptly — Marking tasks done gives your team a clear view of real progress.
