Linking Emails to CRM Records

One of the most powerful features of the SalesKey Inbox is the ability to link emails to your CRM records — deals, leads, contacts, organizations, and projects. This creates a complete communication history tied to every relationship in your system.

Navigate to: Inbox > [Open an Email]


Why Link Emails?

  • See the complete email history for any deal, lead, or contact.
  • Team members can read relevant emails from the deal or contact profile without switching to the Inbox.
  • Linked emails contribute to your CRM's activity history.
  • Sales managers can review communication without needing access to individual inboxes.

Linking an Email from the Inbox

  1. Open the email you want to link.
  2. In the email detail panel, look for the Link to section or the linking options (usually a button or sidebar panel).
  3. Click Link to Record.
  4. Choose the type of record to link:
    • Deal
    • Lead
    • Person
    • Organization
    • Project
  5. Search for the record by name.
  6. Select the record from the results.
  7. The email is now linked and will appear in that record's email history.

Smart Recommendations

SalesKey may automatically suggest CRM records to link based on:

  • The email sender or recipient's email address matching a contact in the system
  • Keywords in the subject line matching deals or leads

Review suggestions and confirm or dismiss them.


Viewing Linked Emails from a CRM Record

  1. Open any Deal, Lead, Contact, Organization, or Project.
  2. Go to the Emails tab in the profile.
  3. All emails linked to that record are listed here in chronological order.

Linking Emails to Multiple Records

A single email can be linked to multiple records. For example, a proposal email might be linked to:

  • The Deal it is related to
  • The Person who received it
  • Their Organization

Repeat the linking steps for each record you want to associate.


Unlinking an Email

  1. Open the record the email is linked to (e.g., the deal).
  2. Go to the Emails tab.
  3. Find the email and click the Unlink option.

The email remains in your Inbox — only the association with the CRM record is removed.


Tips for Email Linking

  • Link emails as you go — It's easiest to link an email right after reading or sending it, before you forget.
  • Train your team — Consistent linking habits across your team give everyone visibility into client communications.
  • Link sent emails too — Don't just link incoming emails; link your sent replies to keep the full thread in the deal.
  • Use it during deal reviews — When reviewing a deal, the Emails tab gives you a quick summary of all communications without searching the Inbox.
