Importing Contacts
If you have an existing list of contacts in a spreadsheet or CSV file, you can bulk-import them into SalesKey instead of entering them one by one.
Navigate to: Settings > Import (or the Import option in the People/Organizations list)
Supported File Formats
- CSV (Comma-Separated Values)
- Excel (.xlsx)
Step 1: Download the Import Template
- Go to the import page.
- Click Download Template to get the correct CSV structure.
- Open the file in Excel, Google Sheets, or your preferred spreadsheet tool.
- Fill in your contact data following the template's column headers.
Important: Do not change the column headers in the template. SalesKey uses them to map data correctly.
Step 2: Prepare Your File
Fill in your contact data. Common columns include:
| Column | Description |
|---|---|
| First Name | Contact's first name |
| Last Name | Contact's last name |
| Primary email address | |
| Phone | Primary phone number |
| Organization | Company name (must match an existing organization name, or a new one will be created) |
| Status | e.g., Prospect, Customer |
| Custom Fields | Any custom fields your admin has configured |
- Leave cells empty for fields you don't have data for.
- Dates should follow the format specified in your company settings.
Step 3: Upload the File
- Go to the import page.
- Click Choose File and select your CSV or Excel file.
- Click Upload or Next.
Step 4: Map Columns
SalesKey will attempt to automatically match your file's columns to system fields. Review the mapping:
- If a column is not matched, use the dropdown to select the correct field.
- Unmapped columns will be skipped.
- Click Next when the mapping looks correct.
Step 5: Validate and Review
SalesKey validates your data before importing:
- Rows with errors are highlighted (e.g., invalid email format, missing required fields).
- You can download an error report to fix issues in your file.
- Valid rows will be listed for confirmation.
Click Confirm Import to proceed.
Step 6: Monitor Import Progress
Larger files may take a moment to process. SalesKey will show the import progress. When complete, you will see:
- Total records imported
- Records skipped (due to errors or duplicates)
Tips
- Deduplicate before importing — SalesKey may create duplicate contacts if the same email already exists. Review your file for duplicates beforehand.
- Import organizations first — If your contacts belong to companies, import organizations first so you can link people to them.
- Start small — Test with 5–10 rows first to verify your column mapping is correct before importing your full list.
Troubleshooting
My import failed with errors.
- Download the error report and fix the flagged rows in your file.
- Re-upload the corrected file.
I see duplicate contacts after importing.
- Use the People list's filters to identify duplicates.
- Merge or delete the duplicates manually.
Some fields are empty after importing.
- Verify that the column was mapped to the correct field during the mapping step.
- Check that the data in those cells was not blank in your source file.
