Exporting Data

SalesKey lets you export your records to CSV or Excel for reporting, backup, or use in other tools. You can export contacts, leads, deals, and projects.


What Can Be Exported?

Record Type Export Location
People (Contacts) Contacts > People > Export
Organizations Contacts > Organizations > Export
Leads Leads > Export
Deals Deals > Export
Projects Projects > Export
Timesheet Entries Timesheets > Export

How to Export Records

  1. Navigate to the section you want to export (e.g., Leads).
  2. Apply any filters to narrow down the records if needed (e.g., by date range, status, owner).
  3. Click the Export button (usually in the top-right area of the list).
  4. Choose your format:
    • CSV — best for importing into other tools or spreadsheets
    • Excel (.xlsx) — best for formatting and analysis in Microsoft Excel
  5. Click Export or Download.
  6. The file will download to your device.

Tip: If you want to export all records, make sure no filters are active before exporting.


What Gets Exported?

The export file includes all visible columns from the current list view, including:

  • Core fields (name, email, phone, status, owner, dates)
  • Custom fields configured by your administrator
  • Linked record names (e.g., organization name linked to a contact)

Note: File attachments, notes, and activity histories are not included in CSV/Excel exports.


Exporting a Filtered Subset

To export only specific records:

  1. Use the Filter options in the list to narrow down your records.
  2. Once the list shows only the records you want, click Export.
  3. Only the filtered records will be included in the export file.

Exporting Selected Records

To export only specific records without filtering:

  1. Check the boxes next to the records you want to export.
  2. Click Export Selected from the bulk actions menu.
  3. Choose your format and download.

Scheduled or Automated Exports

For recurring data exports, consider using SalesKey's Workflows and Automation or the API. See Workflows and Automation for more details.


Tips

  • Export before bulk changes — Always export a backup before performing bulk edits or deletions.
  • Use filters — Export only the data you need rather than full record sets to keep file sizes manageable.
  • Check custom fields — Custom fields are included in exports. If a column is missing, verify the field exists in Settings > Custom Fields.
